Who these terms are between
These terms govern the use of Chaimount by any school, educational trust, or organisation that subscribes to a workspace. The school and its designated administrator accept these terms on behalf of the users inside the workspace.
What the service is
Chaimount provides school-management software covering admissions, timetabling, attendance, gradebooks, parent-teacher communication, and early-warning intervention. The exact functionality available to a workspace depends on the subscribed tier.
The service is delivered over the internet. The school is responsible for maintaining a working internet connection and modern browsers on the devices from which teachers and administrators access the workspace.
What the service is not
- It is not a curriculum, a lesson planner, or a teaching content platform. Pedagogy remains with the school.
- It is not an examination or assessment authority. Grades and grading schemes are set by the school.
- It is not a diagnostic or clinical tool. Early-warning flags are patterns, not diagnoses; interventions remain human decisions.
- It is not a fee collection or accounting system. Financial workflows are out of scope.
Accounts and access
Each user inside a workspace must have their own account. Sharing credentials is not permitted, both because it defeats the audit trail and because it puts student data at risk.
The school administrator is responsible for issuing, revoking, and configuring accounts inside their workspace. Chaimount provides the tooling; the school makes the decisions.
Ownership of school data
Student, parent, staff, and operational data inside a workspace belongs to the school. Chaimount processes that data to deliver the service, and for no other purpose.
The school may export its data at any time. On termination, the school receives a full export and the data is purged after the documented retention window.
Acceptable use
Workspaces must not be used to store records outside the scope of school administration, to harass any user, to attempt to gain access to data belonging to another school, or to send bulk communication unrelated to the school's own students and staff.
Automated access to the service is permitted only via published integrations or API tokens explicitly issued to the school.
Service availability
Chaimount targets high availability during school hours in the workspace's configured region. Planned maintenance is scheduled outside school hours where practical and announced in advance. Unplanned outages are handled per the support terms of the school's subscription tier.
Fees and term
Subscriptions are billed annually per the tier and the student band at the start of the contract. Growth across bands during a term does not change the price; renewal moves to the new band. Cancellation and refund terms are part of the individual subscription agreement.
Limitation of liability
Chaimount is a tool that supports school decisions. It is not a substitute for the school's own judgment. Decisions on admissions, interventions, disciplinary action, and academic outcomes remain with the school. Liability under these terms is limited to the fees paid in the twelve months preceding the event, except where a higher limit is legally required.
Termination
Either party may terminate the subscription per the terms in the individual agreement. On termination, the school receives a full data export and access is retained through the export window. After the window, the workspace is closed and data is purged as described in the privacy policy.
Governing law and disputes
These terms are governed by the laws applicable to the jurisdiction in which the subscribing school is located, unless otherwise specified in the individual subscription agreement. Disputes will first be attempted through good-faith discussion before any formal process.
